How
do I Assign Rental Assistance to a tenant?
A:
From the Tenant List, Double Click on the tenant's
name who you need to assign the Rental Assistance
to (the Household screen will display).
Click on the most current cert in the middle left
side of the screen under the Certifications box.
Then click the View Selected Cert button.
When the cert pulls up change the Subsidy Code
to a 1 for Rental Assistance and press ENTER.
Then scroll to the very bottom of the form - directly
above the gray area, a box called RA Effective
date will be displayed. Input the date the
Rental Assistance will take effect and press ENTER.
Then click OK to save and close the cert.
On
the Project Worksheet, the Obligation Balance
is showing a negative number or no number at all.
A:
Click on the Property Button - (the picture of
the house). Then click on the Loan Information
button listed on the left side of the box.
Your Obligation Balance should be listed, click
on it so that it is highlighted, then click Edit.
The Months and Balances will appear and you will
need to make sure last month's is showing. If
it is not you can add it here and save, or simply
print last months worksheet. After this
has been added you will be able to print the current
month and have the correct balance showing.
One
of my tenants is not listed on the Project Worksheet.
A:
Check the cert effective date and see if it is
a future date. To do this, Double Click
on the tenants name from the Tenant List.
Click on the current cert, then click View Selected
Cert. If the effective date needs to be
corrected, do so now, then save and close the
cert.
If
an adult does not have custody of a child and
does not get the 480.00 deduction, how can this
be changed?
A:
Edit the minor field on the cert. To do
this, click on the blue tenant button at the top
of your screen to bring up the Tenant List.
Find the tenant's name and double click it.
Click on the cert date you need to change, then
click the View Selected Cert button. Scroll
to the minor field and click on the down arrow
key. Put the space in this field.
The
515 Rental Assistance Assignment report has a
tenant listed twice.
A:
There are three places to check is this problem
is happening.
(1) Make sure you do
not have leases overlapping for this tenant.
To do this, click on the blue tenant button at
the top of your screen to bring up the Tenant
List. Find the tenant's name and double
click it. At the bottom of the screen you
will see a section called Leases (you may need
to click and drag the screen down to see this
section, depending on your screen resolution).
Check the beginning and ending dates of the lease.
If the lease needs to be edited so that it is
not overlapping in dates, click on the lease,
then click edit. Correct the dates and save.
(2) Check the Applicant
List to make sure the tenant is not listed here.
To do this, click on the App List button at the
top of the screen. Scroll through the listing
and see if the tenant is on the list. If
so, click on the tenants name and click delete.
If not, you can cancel.
(3) Check the Former
Tenant List to see if she is listed. Click
on the word Property at the top of the screen,
Former Tenant List, check to see if the tenants
name appears here. If the name does appear,
click on it, then click Delete. If the tenant
does not appear here, just click Close.
I
moved a tenant out by
mistake, how can I correct it?
A: Click
on the word Property (next to File). Select
Former Tenant List. Double click on the
tenant you moved out. There will be an Undo
Move out Button at the bottom. Click that
and it will take the person back to active status
and put them back on the tenant list.
Take
off the check Mailbox item - with MINC it doesn't
need to be there anymore.
I
input the wrong move out date for a tenant, how
can I correct this?
A:
Edit the lease from the Former Tenant List.
To do this, click on the word Property from the
top of the screen, then click on Former Tenant
List. Find the tenants name in the list
and double click it. Go to the lease section
at the bottom and edit the lease, then save.
When
I check my mailbox or transmit for Industry Interface,
nothing happens.
A:
The Property ID must be three (3) numbers with
no spaces. To check this, click on the Property
Button (picture of the house), the first line
is the property ID. Make sure this is a
three digit number. It does not matter what the
number it, but it must be three digits with no
spaces.
I
am receiving a message saying I have no certs
available to transmit when I go to transmit my
information to RHS.
A:
Check the date at the bottom of the screen. You
should also make sure that you have reviewed your
transmission report prior to transmitting.
We
are receiving an error message back from RD saying
"No Such Unit". What does this
mean?
A:
Check the Unit Screen to see if you have a 515
Unit Number and Unit Type input. To do this,
click on the Unit button at the top of the screen.
Find the unit you want to edit and double click
it. Scroll to the bottom of that screen.
There will be a section that says 515. Make
sure the 515 Unit Number & 515 Unit Type match
what your RD office computer says.
Step
1 Click the Waitlist button
on the toolbar to open the Waitlist.

Step
2 Click the Add button.
Result:
The Waitlist window displays.

Step
3 In the General section, fill
in the required fields, any additional fields
as needed and click Next.
Step
4 In the Contact Log section,
this is where you can track any contact with your
prospect. Select a date and time (automatically
filled with the current date and time), an action
and add any comments if necessary. Click the Add
Contact Information button. Click the Next
button.

**Note** - Application date is automatically
populated unless done manually when the prospect
is initially added to the Waitlist and saved
Step
5 The Marketing section is where
you have ability to track any referral information.
Select a referral option from the drop
list or click the Add button to
add a new Referral Source.

Step
6 In the 515 section the prospects
RD information should be entered. Click OK
to save.
**Note** - This Waitlist information can
automatically be transmitted to MINC.
